| How The Simple Back Office Staff Process Works? |

- Needs Analysis - The process starts with a simple phone call in which you tell us what you need help with (payroll, bookkeeping, administrative tasks such as creating documents or spread sheets, phone calls, marketing assistance, a research project, data entry, creating a database, updating records or information, sales or service follow-up, etc. etc.)
- Skills Analysis - You also tell us what kind of skills, training and experience you’re looking for.
- Job Description - From that information, we basically compile a job description, including an estimate of hours.
- Rate – We then agree on an hourly rate for the job.
- New Client Packet – We will send you out a New Client Packet explaining everything about the way SimpleBackOffice works with you to streamline your business needs and tasks.
- Search, Match & Select – Meanwhile, we are scanning our staff to find the perfect set of skills for your job requirements, and then we assign a staff person to you.
- Introduction & Orientation - We introduce you via a phone conference to your new assistant and conduct a brief orientation so that everyone is “on the same page” with regard to the assignment. We also, at that time, agree on what hours your person will be working -- basically when you want them to “show up for work” including start time and start date e.g. Monday at 8:00 a.m.
- Instruction - Although this person is not going to physically come to your office, they are, for all intents and purposes working for you. You will have direct communication with them and will be able to instruct them as to exactly HOW you want the job done, including any style or company culture issues that are important to you.
- Communication - You will have ongoing communication with your assistant through:
- Phone contact (through our 800 number which will connect you to the extension of your virtual assistant)
- E-mail – their direct access will be provided to you
- Instant messages
- Fax
- Etc.
- As well as through several propriety web-based applications, which allow the assistant secure access to your programs such as remote PC software Go To Meeting, Go TO My PC, Net Log In, Web X and/or other emote Access Software.
- Feedback - At the end of the first day, we will check in with you to see how everything went. We will also call your assistant to get his or her feedback. From there, we will check in with both of you once a week to make sure that everything continues to go smoothly. You may assign tasks as they arise, and instruct your assistant in any way that is appropriate. This person works for you. Use them for whatever you need help with!
- Time Sheets – Your assistant will provide a detailed time sheet documenting in a time log any time they spend working for you, and you will be billed accordingly.
- Ongoing – For ongoing arrangements, rather than one-off assignments, you and your assistant will check in every week at the beginning of each week to be sure that you are both clear on the tasks and agenda for that week. Remember, this person works for you!
- Assistance in Using Your Assistant – Sometimes our clients need some help in knowing how to best leverage their assistant’s help, in learning how to delegate tasks, and in making time to free up their own time. We can help!
