Running a lawn and landscaping company is not easy! My client maintains various departments to make it run smoothly, as they provide installation, maintenance and irrigation services to help keep many premiere properties in pristine condition season after season.
I provided administrative support for a Lawn and Landscaping company:
- Set up their centralize filing in their server for all of their clients
- Date entry of transactions for the ground maintenance department
- Filing of documents in the server
- Prepare Invoices, WO, Site Evaluation, Bidding, etc.
The properties are classified into three: The Commercial or Home Owner’s Association (HOA), Model Properties and Residential Properties. Need to be able to identify where each of the properties belong to for correct filing of documents to each property folder
There are various software applications that I used while working on their account such as:
- Remote Desktop Application – where I access the server.
- Paper port – All the folders in the server shows up. I used this folder to file documents – Documents are unstacked and restacked into groups according on how they are filed, renaming and then filing of documents to each property folder.
- PDF File – most documents are converted to PDF
- MS Excel – Master Sprinkler checks are saved on this format. And other reports such as bugs spray, etc.
- Net suite – where the clients business transactions are mainly done like the following: Site Evaluation, Estimates or BIDS, Work Orders, Fulfillment of Work Orders, Closing of Work Orders
The usual tasked that I worked were mainly for the Ground Maintenance Department such as:
a. Prepare Site Evaluation, Estimates & Work Orders, the documents are converted to PDF file and sent to the client thru E-mail at the end of the day for review and checking.
b. The Documents used as basis of preparing the Site Evaluation, Estimates and Work Orders are: BID Request, Spray Request, Site Evaluation Form, Drive Sheets, Sprinkler Checks & from e-mail messages
The documents or paperwork that I usually work on: Contracts, mostly for PDF conversion then filing to appropriate property folder; Daily paper work of each property folder such as Returned Work Order back from the field with the crews notes then update Netsuite; renaming and filing of Work Orders, Drive Sheets review and prepare any documentation that is needed then filing. Any maps & notes are given for filing to each property folder. Sprinkler Checks – review, prepare any Work Order necessary and filing then update the Master Sprinkler Checks for any additional property, or controller or when it is sold, Flowers worksheets, Spray Request, Drive Sheet, BID Sheets.
After awhile I also provided support to the President of the said Company mainly to create and consolidate all of his contacts from hotmail and added contacts from all the scanned business cards. And also perform other task assigned from time to time.
